A team of specialized AI agents used for automation

One of the largest Christmas gift webshops in the Netherlands used to start as early as March each year, manually uploading more than 1,000 different gift boxes into their webshop system. The process was fairly complex at first, requiring interpretation and attention to detail, but quickly turned into a repetitive sequence of steps that offered little challenge after the first twenty products.

Based on the photo and the contents, each gift box required a unique, appealing description to be written and entered correctly into the system. In addition, the right attributes had to be linked to every package to ensure the webshop’s filter options functioned properly.

Scalable AI system

The solution

At first glance, this workflow, consisting of multiple detailed steps, seemed too complex for AI to handle. However, by combining several specialized AIs into one coordinated system, a so-called Multi-AI solution, SynAI made full automation possible.

The first AI analyzes the product photo, assessing its contents, presentation, and color palette. Its output is passed to a second copywriting AI, which combines this data with the list of items provided by the supplier to create a natural, engaging product description. Next, a third AI uses the previous outputs to determine the correct product attributes for webshop filtering. Finally, a fourth AI merges all data streams and automatically imports the completed product into the catalog, without any human intervention.

The result

Previously, the process took about two months, with three team members spending roughly half of their time on it. The direct time savings achieved now amount to around 250 hours per year. While that number may seem modest in the bigger picture, it’s important to note that this was one of the team’s least enjoyable and most repetitive tasks. With this work now fully automated, employees experience greater job satisfaction and the organization benefits from improved efficiency. In total, 250 hours have been freed up for higher-value tasks that truly drive the business forward.

In addition, the system is fully scalable. The implemented solution can just as easily handle 10,000 gift boxes and supports multiple languages, making it an ideal fit for international webshops with large and diverse product catalogs.
